Steering Committee Conference Call
November 14, 2003

Reminders to everyone:

1. The program committee is entertaining suggestions for a theme.  The current leading suggestion is "Global IPM."  See program committee notes below and forward any additional suggestions to Margaret Appleby at margaret.appleby@omafra.gov.on.ca

IPM Symposium Steering Committee Call Minutes

Participating:

Sherry Glick, Tom Green, Curt Petzoldt, Sue Ratcliffe, Paul Nestor, Jennifer Vollmer, Elaine Wolff

  1 Media committee report - Sherry Glick

media committee met on 10/29 and developed their information needs including mission, media/action plan, issues from last symposium.

Elaine reported media in '03 should have been started much earlier, she has a list of media contacts we used last time that should be reviewed and expanded, Ed Rajotte did much of the coordination and can be a resource this time, Elaine needs active committee help to identify additional contacts, publications, etc.

The committee will work with Elaine to improve the media contact list, develop press releases, work with the local arrangements committee to generate local media participation once symposium site is set.

Elaine will collect lists and releases from the '03 symposium and join the next media committee conference call.

Work with exhibits/finance to promote opportunities for contributions/exhibits in early press releases.

  2 Site selection committee report - Sue Ratcliffe

Site selection committee met 11/4 and created a short list of potential sites, taking into consideration comments from last time suggesting a Midwest site would even out travel expenses for those on the coasts.

The steering committee recommended staying south of potential winter weather, and selecting cities served by low cost airlines.

We finalized a short list of Houston, Memphis, New Orleans, Pheonix and San Antonio.  Paul could help with local arrangements for Houston and San Antonio.

Elaine and the committee will solicit proposals from chamber of commerce/convention bureaus in those cities.  We'll aim to finalize site/date selection by February '04.

  3 Exhibits/Finance committee - Curt Petzoldt

Committee met 11/13.  Tom Hall volunteered to coordinate industry funding with Scott Hutchins.  Eldon Ortman had agreed to assist with government funding, the committee will recruit someone to work with Eldon.

Sue Ratcliffe has a boilerplate proposal from last time we can adapt as needed.

When looking at sites, we should ensure sufficient room to have posters/exhibits/receptions in the same room- space was limited last time. Exhibitors want to be where the action is.

There were three major sponsors last year, plus six exhibitors. Much potential to expand exhibitors if space is available.

Work with media committee to ensure adequate promotion of exhibit opportunities in press releases.

Last time we had about $130,000 in sponsor contributions.

Committee will work with Elaine to develop budget/banking info, Elaine will join next call and supply '03 funder contact list.

Contact potential private foundation funders - what are their needs?  Are there potential topics they would like to see addressed/sponsor? Do they have IPM project meetings to coordinate with symposium?

  4 Program Committee - Sue Ratcliffe

Committee met by phone, Margaret Appleby will be steering committee rep from committee, along with Sue.

Committee suggestion for a program theme is "Global IPM"

Lots of potential for spinoff topics, including IPM and global economy, invasive exotic pests, GMO technology, bio-control, eco-labeling, certification, homeland security, etc.

Is Global IPM too broad?

If Global IPM becomes the theme, likely no need for a separate international committee.

Committee will solicit additional suggestions, make a decision w/ steering committee input early in '04.

  5 Operations/Website

Committee met by phone, Ron Stinner will work on a web site to post committee meetings to, etc.

  6 Posters

Committee met by phone, Jennifer Vollmer is steering committee rep.

Strong recommendation to combine poster/exhibits/receptions in same room, coordinate author-present time with receptions.

Will work with Elaine on arrangements, e.g., poster boards may be provided by hotel or outside vendor.

If the number of poster submissions requires two separate sessions, each should have its own reception.

Tie poster topic groupings with oral presentation topics.

  7 Other

Local arrangements committee will add recruits once site is set.

Next steering committee conf call will be January 14 at noon central.  Draft agenda to follow.
