Initial Charge to Committees

The steering committee will be responsible for developing the charge to each committee.Ý The first element of the charge will be for each committee to select 2-3 co-chairs who will take lead responsibility for ensuring the committeeís work is completed in full and on time.Ý This responsibility will include representing the committee on steering committee conference calls which will be monthly initially, with more frequent calls during the final few months before the symposium in 2006.

Weíd like committees to get together shortly after next weekís (10/14) call to select their co-chairs so that these individuals can participate in the November steering committee conf call.Ý Sue Ratcliffe will make a teleconferencing phone number available to each committee for their committee calls.

Exhibits/ Finance

Identifies potential commercial and institutional exhibitors, drafts and circulates announcement, responds to inquiries from exhibitors, works with the professional coordinator and hotel to layout available space, arrange for tables and other furnishings.

Local arrangements

Recruits tours and other local events to be held during the meeting, works with hotel and professional coordinator to design and assemble registration packets.Ý Once meeting site is selected, committee will likely recruit an additional member or two local to the site.

Media/outreach

Drafts and executes media plan to publicize event, drafts and circulates announcements, arranges for media participation/coverage during event.

Operations/ Website

Works with professional coordinator to determine equipment needs, recruits and coordinates on-site volunteers for A/V for each session, slide pre-viewing room, registration, etc.

Posters

Reviews abstract submissions, assigns time slots, works with professional coordinator on poster room layout.

Program

Works with steering committee to select theme, major topic areas, meeting format (sessions, receptions, breaks, events, etc.).Ý Reviews abstract submissions, assigns time slots, works with professional coordinator on printed program design.

Site selection

Works with professional coordinator to select site city, hotels.

Web site

Drafts content, provides design input to and works with contracted web technicians and professional coordinator to post announcements, solicit registrations, abstracts pre-meeting and presentations post-meeting.
